Tenant Fees

Transparent Tenant Fees

The Tenant fees Act means that there are restrictions placed on fees payable by tenants. However, there are some fees that tenants need to be aware of when renting a property.

Deposits

This is a maximum of 1 weeks’ rent and is taken to enable referencing checks to be conducted once an application has been accepted.

Rent

Rent is paid in advance of the rental period. If the rental period is monthly, the first month’s rent is to be paid prior to the start of the tenancy.

If your rental payment is more than 14 days late, interest may be charged at a rate of 3% over the Bank of England base rate.

Penalty Fees

These are chargeable for loss of keys or other security devices. The fee must not exceed the reasonable cost of replacing a key or other security device.

Change of Tenancy

if a change of tenant is required, subject to agreement by the landlord, a new tenancy agreement will need to be provided and a swap fee of £50 will be payable.

If changes are agreed by the landlord, a fee of £50 is payable.

If you wish to end your tenancy before the agreed end date, you will be responsible for payment for any costs to relet the property as well as rent. Council tax and any utilities due until a new tenancy is in place. The maximum payable will be the amount of rent remaining up until the end date of your original tenancy agreement.

Consider the Location

You should factor in considerations of the area you would like to live in and what local amenities are most important to you. Do you need easy access to public transport links, schools or shops?

For the property itself, think about how much room you need and if it suitable for your needs such as working from home.

Plan Your Time

Allow some time before the date you would like your tenancy to start and give yourself plenty of time for searching for properties, viewings and completing the application process.

Set Your Budget

Budget is important so set yourself a budget that is realistic and manageable for you. Remember that you will most likely be responsible for payment of council tax and all utilities bills plus any internet and telephone services so be sure to factor these into your overall costs.

Necessary Documents

Documents & Checks

Be prepared with the documents you will need such as confirmation of identity and address and proof of your Right to Rent in the UK.

If your application is accepted, reference and credit checks will be performed to assess your suitability.

Information collected for the checks will include- three years’ history of addresses, contact details for previous landlords to obtain references from them, employment and salary information, pension details if retired or accounts details if self-employed.

Permission to conduct credit checks is also required (you must declare any CCJ’s or bankruptcy).

The property will only be secured once the security deposit has been received. You will be provided with full information regarding what the deposit is held against and how it is being held.

You will then be provided with a copy of the Tenancy Agreement. Read over this carefully as it is a legal document that contains all the terms of your tenancy. Make sure you have fully read and understood the agreement prior to signing.

To get your tenancy underway, our team will work with you to ensure you have all of the relevant documentation and arrange signing of the agreement. You will need to pay your deposit and the first months’ rent in advance. You will be provided with information on how to set up your ongoing rental payments.

Once everything is in place we will arrange for a check in and hand over the keys to your new home!

You will need to contact utility providers and the local council to inform them that you are the new tenant in the property.

The check in process will involve the checking and signing of a prepared Inventory and Schedule of Condition. This is a document listing the condition of the property and any fittings and furnishings prior to your tenancy starting. This needs to be checked carefully and will require a signature of agreement as it will be used as a point of reference at the end of the tenancy to identify any damages that have been incurred that are above fair wear and tear.

Inspections of the property will be carried out during your tenancy, the intervals will be agreed with you when your tenancy starts. This not only helps to reassure the landlord that their property is being cared for, it also gives you the opportunity to raise any concerns you may have. You will always be given at least 24 hours notice prior to any prospective visits to your home.

Visits may be conducted by either the landlord or the managing agents. If your property is managed by us, we will create a report with details of the inspection and both you and the landlord will receive a copy along with any recommendations for maintenance or repairs.

Renewing your tenancy- if you would like to extend your stay in the property, we will liaise with you to facilitate your request if it is agreed by the landlord.

Ending the tenancy – if you wish to move out at the end of your agreed period there will be a check out process to be conducted. The inventory agreed at the start of the tenancy will be checked against the condition of the property at the end.

If there is no dispute, your deposit will be returned to you within 10 days after release has been agreed. Any disputes will be negotiated at this point and an independent resolution service can be utilised if required.

Please make sure you leave the property clean and as close to how it was when you moved in as possible to help with this process.

Yes, all prospective tenants will be referenced prior to being accepted to give the landlord assurance that rent will be paid regularly and that their property is in good hands.

You will be asked to provide address, bank account and employment and income details to be checked by a referencing agency to assess your ability to commit to rental payments.

Personal references or references from previous landlords may also be required.

Where a tenant does not receive approval, they may be able to arrange to pay the full rental amount up front or provide a suitable Guarantor.

We will require proof of ID such as a passport or driving licence along with proof of residency such as a utility bill.

A guarantor will be required if the tenant does not receive approval via the referencing process and is someone who agrees to be responsible for rent payments should the tenant not be able to pay.

Guarantors will also have responsibility for payment or any rent arrears and for damages sustained not covered by the deposit amount.

Guarantors will also be subject to reference checks.
